AI WORKLABS (“we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, store, and protect personal data when you visit our website, contact us, or use software and services we provide (together, our “tools”). We process personal data in accordance with UK GDPR and the Data Protection Act 2018.

Who we are

What data we collect

Depending on how you interact with us, we may process:

  • Contact and account details — such as your name, email address, and organisation when you get in touch or sign up for our tools.
  • Usage and technical data — such as IP address, browser type, device information, and logs needed to operate and secure our services.
  • Content you provide — such as messages, configuration, or files you submit when using our tools or integrations you authorise.
  • Third-party service data — where you connect external accounts (for example Google), we receive only the data needed to deliver the features you use, as described below.

How we use your data

We use personal data to:

  • Provide, maintain, and improve our website and tools;
  • Respond to enquiries and support requests;
  • Operate integrations and automations you configure;
  • Keep our services secure and prevent abuse;
  • Meet legal and regulatory obligations.

We do not sell your personal data. We do not use your personal data for advertising. We do not use your personal data to train general-purpose AI models.

We rely on one or more of the following, depending on the activity:

  • Contract — to deliver services you request or use.
  • Legitimate interests — to run and improve our business, secure our systems, and communicate with you, balanced against your rights.
  • Consent — where required, for example when you authorise access to third-party accounts.
  • Legal obligation — where we must comply with applicable law.

Google API services

Some of our apps use Google OAuth to access Gmail on behalf of the Google account owner who authorises the connection. Depending on the app and the permissions you grant, this may include reading messages, composing drafts, and modifying labels — only for the account that you connect, and only to provide the user-facing features you choose to use.

Data obtained through Google APIs is used solely to provide those features to you. It is not sold, not used for advertising, and not used to train AI models. OAuth tokens and related credentials are stored securely on our own servers. You can revoke our access at any time via https://myaccount.google.com/permissions.

AI WORKLABS's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. See the Google API Services User Data Policy.

Sharing and processors

We may share data with trusted service providers (for example hosting, email, or infrastructure) who process data on our instructions and under appropriate agreements. We may also disclose data if required by law or to protect our rights, users, or others.

International transfers

Where personal data is transferred outside the UK, we ensure appropriate safeguards are in place (such as UK adequacy regulations or standard contractual clauses), consistent with UK GDPR requirements.

Retention

We keep personal data only for as long as needed for the purposes above, including legal, accounting, or security requirements. When data is no longer required, we delete or anonymise it where practicable.

Security

We implement technical and organisational measures designed to protect personal data against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure; please use strong credentials and revoke third-party access when you no longer need it.

Your rights

Under UK GDPR, you may have the right to:

  • Access a copy of your personal data;
  • Rectify inaccurate data;
  • Erase data in certain circumstances;
  • Restrict or object to processing in certain circumstances;
  • Data portability where applicable;
  • Withdraw consent where processing is based on consent;
